Our end to end event management we can create fully branded and customisable registration, manage communication, abstract submissions, as well as managing presenters & speaker rehearsals, exhibition & sponsorship & financial management.  

The interactive platform includes the option to include poster presentations, gamification & private social networking, as well as giving you - our client - access to live online reporting at all times. 

ABOUT HYBRID EVENTS

For a Hybrid Event, the Team at Essential Experiences Event Management will also provide:

Everything we are doing for virtual, plus:

  • Manage the production of a Live Stream for each session, either via venue AV team, a production company or a web cam on presenters' laptops
  • Design and provide an attendee app for live and virtual attendees to interact with each other with Polling, Q&A, Gamification, meeting hub and social networking 
  • Assist exhibitors by setting up laptops on their stand to visit and meet with all virtual attendees visiting their stand
  • Provide a full suite of reports breaking down all financials and event details for both the virtual and live components of your event

Custom Design & Branding

Your event portal can reflect your concepts for event themeing with the click of a button. From colours, custom backgrounds and imagery, your event portal can take shape in any which way you choose.

3D Mode

We can provide a realistic environment for all or part of your virtual program.  This optional 3D mode is the graphical version of your virtual event, giving your attendees a realistic way to viewing and navigating within your event.

Attendees easily navigate from lobby to sessions, functions and the virtual exhibition.  We can customize all backgrounds to fit your requirements.

2D Mode

2D Mode is the more straightforward browser interface that provides a traditional look and feel.

The short video to the right illustrates how you navigate around using the 2D Mode.  Attendees can view their personalised agenda with full access to sessions and functions.


Sessions

There are a variety of platforms in which to deliver sessions including pre-recorded, webinar style, live broadcast & AIRCast Studio.  Concurrent sessions are an added enhancement, with attendees either 'pre-allocated' into rooms or given the opportunity to choose and switch between session throughout the event.

AIRCast Studio

Powerful studio environment with professional broadcast layouts.  In addition to the above features mentioned in 'Sessions' AIRCast Studio also includes:

  • Lower Third Captions
  • On-the-fly break out rooms 
  • Invite attendees, sponsors and external guests into the broadcast


EPoster Sessions

The Poster Gallery view shows all poster presentations in a searchable grid format. Here, presenters can manage the queue of attendees wishing to join their presentation. Presenters can upload handout documents which attendees can download and save for later viewing. Attendees can also engage in the discussion forum and interact with Live Q&A and Live Polling functionalities.

3D Poster Presentation

Using the 3D option provides an engaging experience for your attendees.



Resource Gallery

This feature provides a gallery of resources from poster presenters, exhibitors or presentations.

The gallery view is easy to search for desired content, providing a gallery of pre-recorded content for easy access.

Attendees can jump directly from the gallery to a presentation or an exhibition stand when live.



Virtual Exhibition

A great way to interact with sponsors and exhibitors, the Exhibition Portal lists all exhibitors and virtual stands. Attendees can watch a welcome video and download brochures as well as requesting instant or pre-scheduled meetings with exhibitors of their choosing.

The queue management system allows multiple exhibitors to work the stand and meet with attendees. Exhibitors can share presentations and videos as well as the option to record exhibitor’s presentation for later viewing. There is also the option for lead retrieval capability which is beneficial to exhibitors and sponsors just like live events.


3D Exhibition

Flexible options for 3D Stand Design all for custom build design for Individual exhibitors. 



Meeting Hub

Integrated across all aspects of the virtual experience, the Meeting Hub is a place for attendees to connect and meet with each other. Attendees can arrange instant or scheduled meetings, live chat or send messages, even schedule a call. The powerful filtering tool based on attendee profile helps attendees search and find presenters or other attendees with ease. Connections automatically include the exchange of exportable contact details for later reference post event.

Live Support

The Essential Experiences Team can provide a live concierge service for attendees, assisting those who request support and join a support queue. Attendees can continue with the virtual event while they are in the queue, with live support agents answering queries accordingly. The Live Support team would be a mix of our event team staff and IT and have the ability to both chat and video call.

Presenter Management Tools

Easy management of Live Polls and response to questions in real time with Live Q&A. Chat with other presenters and control room staff to manage sessions and presentations. Presenter view can preview a live feed of the attendee content, allowing presenters to view what the attendees see.There is also a rehearsal option to practice session delivery. 

Live Host

We can work with your team or we can provide live host announcements throughout your virtual event.  Perfect for session and event reminders.


Networking Functions

Provides an informal interaction between attendees, much like a networking function at a live event. Our software randomly allocates small networking groups of up to 12 people for an allotted amount of time. Conversations are kept short so attendees can engage in multiple conversations with attendees.  A host can be allocated to a conversation.

Group Functions

You can pre-assign groups of attendees to specific conversation groups which can be organised by any criteria you require. This is a great way to manage breakout groups and activities in a virtual way. 

Real-Time Analytics

We can provide real-time analytics about  your event with detailed reports that are exportable.    Includes:
